Responsibilities and duties
The Assistant to the DoC
provides administrative, management and secretarial support of the highest quality to the DoC
screens incoming correspondence and telephone calls and directs them to the right person in charge; arranges internal and external meetings for the DoC
manages the agenda of the DoC with an understanding of business priorities
manages the international and local correspondence of the DoC with BiH and Swiss authorities, international organisations, civil society organisations and the private sector
maintains a database of important contacts
arranges logistics for missions, internal workshops and external events related to the Swiss Cooperation Program in BiH
takes minutes of meetings
translates documents, if required
- supports the DoC in her daily work
Qualifications
Commercial education or Bachelor's degree or equivalent
Outstanding knowledge in B/C/S, English, German, both written and oral; knowledge of French is an asset
- Proficient computer skills: MS Office, Outlook, PowerPoint, Excel
Key competencies
At least 5 years of practical work experience related to administration, organisation and written correspondence
Excellent organizational and time management skills, including the ability to meet deadlines
Ability to perform tasks with a high degree of accuracy and efficiency
Ability to work independently, to take initiative and to overcome obstacles
Strong multi-tasking skills and a high degree of flexibility
Strong interpersonal, communication and team work skills
Demonstrates respect for all individuals at all times
- Ability to exercise judgment in managing confidential or sensitive information
Start and duration of the engagement
The engagement will start on 1 September 2018. The selected candidate will be awarded a one-year contract with the possibility of extension.
